Corporate Administrative Assistant

San Diego, CA

Position Overview

This position goes beyond administrative duties. Before you apply, here are a few things to consider beyond just showing up on time and dressing professionally:

General
- Administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf.
- Organize meetings, including scheduling, sending invitations and reminders, and organizing catering when necessary.
- Answer phone calls in a polite and professional manner.
- Welcome visitors and identifying the purpose of their visit before directing them to the appropriate team member.
- Interpersonal skills. Proactivity and self-direction are critical.
- Experience handling confidential, complex, and critical projects.
- Occasionally attend industry events to support the Leadership.
- Managing the executives’ calendar, including making appointments, understanding travel commitments, and prioritizing the most sensitive matters.
- Prepare draft proposal responses and directing teammates as to which areas will require input.

Finance
- Be main point of contact to receive invoices. Review will be completed by Finance and Leadership for payment.
- Working with Finance, establish Standard Operating Procedures (SOPs) for receiving, monitoring, and processing payments.

Qualifications
- Candidates ideally possess a bachelor’s degree, but we understand the value of past relevant experience that could supersede a college degree.
- Time management and ability to meet deadlines.
- Strong organizational skills and ability to multitask.
- Must be trustworthy.
- Strong skills using applications such as MS Office, Excel, MS Project, and Adobe.
- Candidate must demonstrate proficient written and verbal communication skills. This is very important.
- Ideally the candidate is skilled in using Adobe products, such as Illustrator and InDesign.
- No previous experience with real estate, design, engineering, or construction is required.

Compensation & Probationary Period
This is an hourly position. Actual annual compensation within $65,000 - $80,000 range will be dependent upon the individual's skills, experience, and qualifications. The proposed range could be increased when considering a person with exceptional experience.

There will be a 90-day probationary period for the candidate to prove themselves. The firm will provide structure, clear feedback and support, along with every opportunity for the new teammate to learn and grow.

Project Manager

Position Overview

The Project Manager takes a leadership role in the planning, execution, and completion of commercial real estate and construction projects. This position involves full responsibility for managing client relationships, directing project teams, ensuring contract compliance, and delivering projects on time and within budget. The Project Manager must balance technical expertise with client advocacy and strategic planning.

Qualifications
- Bachelor’s degree in Construction Management, Business, Finance, or a Design-related field.
- 5-7 years of experience in the commercial real estate or construction industry.
- Proven experience managing contractors, design teams, and third-party consultants.
- Proficiency in MS Office, Excel, Bluebeam, MS Project, SmartSheet, P6 Primavera, and Adobe.
- Excellent written and verbal communication skills.

Responsibilities
- Lead and maintain relationships between the client, design team, contractor, and other stakeholders, actively fostering collaboration.
- Direct and oversee all project phases, ensuring adherence to schedules, budgets, and quality standards.
- Enforce contract terms and oversee scope compliance.
- Take full responsibility for project deliverables, including estimating, scheduling, quality control, cost reporting, and proposal preparation.
- Provide strategic solutions to mitigate project risks.
- Communicate directly with clients, providing timely updates and addressing concerns proactively.
- Conduct site visits and engage in hands-on project oversight, including physical tasks as needed.
